PUT THE FEATURES TO WORK

Four moments that
make the difference.

See how your team can carry client context through a new request, a revision and the next invoice.

THE HANDOFF

Win the work. Keep the context.

What happens after the client says yes?

IN ASANA

Asana Client Management handles client collaboration alongside its work-management offering. The package you choose determines how your team connects client records with delivery.

IN FLOWBOARD

Keep contacts and companies alongside deals, then convert a won deal into a project with its commercial context. Link proposal and invoice records to the engagement. The delivery owner sets the team, dates and responsibilities after the agreement.

Explore the client handoff
A USEFUL SIDE-BY-SIDE CHECK

Follow one accepted engagement through the precise Asana products proposed for your team.

THE NUMBERS

See what the work is costing.

Can you explain the margin behind a busy project?

IN ASANA

Timesheets and Budgets documents cost and rate workflows. Compare how each financial number is calculated and which records keep it current.

IN FLOWBOARD

Track the effort against tasks and review its cost alongside the configured project revenue and direct expenses. For fixed-fee and retainer work, the configured budget is the revenue basis. The result is direct margin, not collected cash or company net profit.

See project economics
A USEFUL SIDE-BY-SIDE CHECK

Reconcile the same sample hours, costs and agreed fee. Investigate definitions before comparing totals.

THE CLIENT EXPERIENCE

Give the client a clear next step.

Where do feedback, files and project context belong?

IN ASANA

Asana advertises branded client collaboration through Client Management. Bring the client role into the test and evaluate its actual access and next-action flow.

IN FLOWBOARD

Give clients their own access to selected project content, while internal discussions and costs stay with your team. Keep image annotations in the internal proofing workflow and share the updates, files and feedback your client needs.

Explore the client portal
A USEFUL SIDE-BY-SIDE CHECK

Have a test client find their latest project context and respond to a request.

DELIVERY TO BILLING

Commit the time. Bill the work.

Does the next deadline fit the team and the agreement?

IN ASANA

Asana has dedicated capacity planning and time capabilities. Include approvals and the intended billing process when evaluating the operational chain.

IN FLOWBOARD

Plan weekly project allocations, compare capacity with actual time, and generate invoices from finished, unbilled billable entries. Planned hours, worked hours and invoiced amounts remain different measures, so you can inspect the handoffs between them.

Follow time through billing
A USEFUL SIDE-BY-SIDE CHECK

Reallocate a teammate, approve a time entry and follow it through the financial process.

YOUR NEXT PROJECT, IN FLOWBOARD

Bring the work over.
Keep its history close.

Pilot the Asana API import with a representative project. Keep historical comments, time entries and custom fields accessible in a source archive.

Keep your original records, then check the imported owners, dates, statuses and file links before bringing the client into the new workspace.

Make the commercial handoff part of the project

An approved campaign needs more than assigned tasks. Someone must keep the agreed fee, new requests, delivery hours and invoice evidence connected as the work changes. If your agency maintains that context outside its project plan, switching to a connected agency workflow can remove a recurring reconciliation job.

Asana offers Client Management with client context and a portal, plus Timesheets and Budgets for financial inputs. Include those products in your shortlist. Flowboard brings the deal, delivery record and billing workflow together for agencies that want their project owners to work from the same commercial context.

ClickUpFlexible work-management configurationCheck hierarchy, custom fields and workload

Flowboard: carry the engagement from won deal to invoice

Choose Flowboard when you want the project to retain its commercial context after the sale. Move a won deal into a project, keep the client and proposal close, log delivery time and review direct margin before preparing the invoice. Weekly capacity and the client portal support the people delivering the work and those waiting for it.

Use a campaign with an extra revision to see the workflow in practice. Record the additional effort, review costs against the configured revenue and generate billing from eligible completed time entries. The margin view covers recorded direct costs, not full bookkeeping or a forecast of remaining effort. Native Gantt and native mobile apps are not currently available.

Productive: for service budgets and planned financial commitments

Productive is worth examining when the issue is financial depth rather than task organization. Its service-and-budget model and Resource Planner are designed around agency work, and its documentation describes forecasts using future bookings.

Ask the financial owner to explain a mixed engagement in the proposed setup. How are different service lines billed? How are planned and recorded costs distinguished? What is the revenue basis for the report? Use the answers to check that finance and delivery interpret the same engagement consistently. Include the work required to keep rates and future bookings current.

ClickUp: for varied work structures in one platform

ClickUp belongs on the shortlist when several teams need configurable work structures and agency delivery is only one of them. Its documented native time tracking and Workload capabilities should be part of the assessment, with plan limits checked.

Give the workspace owner a realistic maintenance task during evaluation. Change a standard workflow and inspect existing projects, reports and permissions. Check who maintains the setup and how changes affect existing projects. Agree the revenue and cost definitions before building financial reports around custom fields.

monday work management: for board-based operational design

monday can suit agencies that want to model their work through configurable boards and explicitly maintained handoffs. Distinguish work management from CRM and other monday products when defining the proposed configuration.

Use a cross-functional campaign to test the design. Follow a request through intake, production, review and management reporting. Ask which fields are shared, which are duplicated and how a changed deadline propagates. Select this approach if deliberate configuration is a useful capability for the business, and budget ongoing maintenance instead of treating the first board template as a complete implementation.

Basecamp: for project communication as the central need

Basecamp is an option when work is suffering primarily from scattered conversation. Its project-centered discussions, client controls and Card Tables can be evaluated through the clarity of the decision record. Native time tracking is now listed on qualifying plans.

Have someone who missed the kickoff join the sample project and explain its current state. Then ask a client to find the latest approved direction. If those are the most important improvements, a communication-first purchase may make sense. Keep the cost and billing process visible in the trial so the team can see which commercial work remains in another system.

Test a campaign with a dependency and a revision

Illustrative selection exercise: a campaign launch depends on a design asset, a client approval and an implementation task. Halfway through, the client changes the landing-page offer. The account manager must separate the new request from approved scope while delivery preserves the launch plan.

Use the same scenario in the two most promising candidates and the Asana configuration you could retain. Check ownership, change visibility, client permissions and invoice evidence. Write down unresolved steps. The result should show who approves extra scope, how contributors see the change and which records support the invoice.

Preserve context when changing systems

Asana supports project exports, but the portfolio and its surrounding behavior require a separate migration plan. Inventory templates, rules, forms, reporting definitions and linked documents. Decide which belong in the new workflow and which remain as historical reference.

If Flowboard is the destination, its Asana API importer supports selected project and task mappings. Comments, historical time entries and custom fields do not transfer. Check sections, nested work and assignees after a small pilot. For every destination, retain source records until a project manager and commercial owner have approved the new operating routine.

Which Asana alternative should an agency try first?

Start with Flowboard if the priority is connecting client commitments, delivery time, direct margin and invoicing. Include Productive for detailed financial forecasting, ClickUp or monday for configurable work, and Basecamp for project communication. Compare the two closest candidates with the engagement your agency handles most often.

Should we review Asana Client Management first?

Yes, if your reason for leaving concerns client context or portal access. It is a current dedicated offering, distinct from standard Asana plans. Include the required products, client access and financial features in the configuration you compare.

Which alternative fits more detailed agency forecasting?

Productive warrants evaluation because its documentation connects budget forecasts with resource bookings. Confirm the financial definitions and required configuration. Flowboard focuses on recorded direct margin and weekly capacity allocations; it does not provide the same forecast from future resource bookings.

Is a simpler-looking interface enough reason to switch?

It can help adoption, but it is not enough evidence by itself. Check the contributor's routine, the manager's exceptions and the owner's reporting. A migration that removes a necessary control can shift complexity elsewhere instead of reducing it.

What should remain available after migration?

Keep the source history, approvals, documents and financial evidence needed to explain ongoing engagements. Active task data is only part of that record. Define where historical context lives and who can access it before retiring the original workflow.
