That regularity is what makes the board deceptive. It fills up and empties on schedule whether the retainer is making money or not, because a task board records what was done and never what it cost. The client who quietly needs three extra hours a month looks identical to the one who does not.

So the margin conversation happens once a year, from a spreadsheet somebody rebuilt for the occasion, about a period nobody can change any more.

A retainer is a set of deliverables that recur. Recurring task templates put that set on a schedule rather than in a checklist somebody copies, and the tasks they create are ordinary tasks: same board, same list, same timer, same hours feeding the same margin calculation.

Project templates cover the other half, the new client who needs the same shape of engagement as the last one, carrying their sections and task count rather than being rebuilt.

So what: the ninth retainer is set up the way the first one was, and the hours behind it are legible.

Client Reporting

The monthly report sends itself, from the hours already logged.

Five purpose-built report types, a saved configuration, and scheduled delivery to a named recipient list.

Reports are not one generic export with a filter on it. There are five: time and billing, project profitability, team utilization, invoice summary, and capacity versus actual. Each is its own engine. Save the configuration, set a schedule, and it delivers to an explicit list of recipient emails.

The invoice-summary report groups by client by default, which is the question a retainer business actually asks.

Honest limit: export is CSV. The PDF option falls back to CSV, so treat the format as CSV and nothing else.

So what: the reporting hour at month end stops being a rebuild.

Client Access

Reporting access costs nothing.

A separate client identity, their own view of their own projects and invoices, and no seat charged for it.

Client portal users live in their own table, separate from your team's. The plan's member limit only ever counts your team, so giving a client, their marketing manager and their CFO a login changes nothing about the bill. That is the code-level basis for the claim, not a promotion.

What they see is scoped: their projects, files, invoices and forms, filtered by the same visibility rule the internal Preview as Client toggle uses. Cost rate per hour is returned only to Owner and Admin, so what a teammate costs is never in a client view.

So what: the client sees the work without seeing the margin on it.
