Where Flowboard differs

The billable half is shipped, not assembled

The timer sits on the task. One click from the Kanban card, the List row, or the task detail panel. Every hour logged updates that project's margin, per client, and those same entries become invoice line items grouped by team member or by task. Generating the invoice locks the entries, so the same hours are not billed on a second invoice. Cost rate per hour is returned only to Owner and Admin, so members and clients never see internal cost rates. So what: the loop from hour to margin to invoice runs without a spreadsheet in the middle, and without you being the person who has to keep the spreadsheet correct. Honest limit: the numbers come from hours already logged. There is no forecasting and no margin alerting.

Notion is the better wiki, and this page is not arguing about it

Block pages, nested sub-pages, embedded databases, and version history that runs to Unlimited on Enterprise. Notion's file uploads start capped at Up to 5 MB on Free and go unlimited above it. That is a real product built by people who care about it, and agencies are right to like it. Flowboard's docs are the working half of that: a rich text editor, a document list and sidebar, server-computed version numbers the client never supplies, restore to a prior version, undelete, duplication, and save as template. What they have that Notion's do not is adjacency. The SOP sits in the same workspace as the tasks, the hours, the client record, and the invoice it governs. So what: you stop keeping the process document in one tool and the process in another. Honest limit: on raw wiki depth Notion wins. There is also no public help-center or external knowledge-base site in Flowboard, only the in-app docs area.

Free client access is table stakes here. The difference is what the client gets

Notion charges nothing per guest from the Plus tier up, so the seat-cost argument that works on other tools in this category does not work on Notion, and this page is not going to run it. Flowboard's difference is the shape of the surface, not its price. A client gets their own login, by magic link or password, against a separate portal-users identity table rather than a place in your page tree. Task, comment, and file visibility is scoped on the client surface, and the Preview as Client toggle filters your own screen using the same visibility rule the live portal uses, so the preview is a simulation rather than a mock. So what: you check what the client sees before you send it, and the thing they log into has a dashboard, their projects, their forms, and their invoices rather than a page you remembered to share.

What Flowboard does not have

No integrations marketplace. No native mobile app: the mobile screens are mobile-optimized web views. No Gantt or timeline view, since Board, List, and Calendar are the only views, and Calendar places a task only if it carries a due date. Notion ships both a timeline and linked dependencies, and its help page documents auto-rescheduling when a predecessor's date moves, so on scheduling depth Notion is ahead and this page says so. Portal branding is three fields, workspace name, logo, and accent color, on a Flowboard-hosted portal with no custom domain, where Notion sells one at $8/month/domain paid annually, or $10/month per domain paid monthly USD. There is also no Notion importer.

Keep Notion for the wiki. Move the billable half into a tool that ships it instead of leaving it to you.

Hours to margin to invoice, as one loop

Notion's pricing page returns nothing for invoicing, profitability, margin, billable, or time tracking. All five are buildable in Notion databases with number properties, rollups, and formulas, and agencies build them, then keep building them as the workspace grows. Flowboard computes per-project and workspace-wide profitability from the hours already logged, generates invoice line items from those same entries in two grouping modes, and locks the entries once an invoice is generated. Time tracking and timer are not named on Notion's pricing page, so an hour in Notion is whatever someone types into a duration property, or whatever a separate tracker recorded under a slightly different task name. In Flowboard the Play button renders directly on the Kanban card and the List row, not only inside the task detail panel, so a teammate starts tracking without opening the task. Invoicing is not named on Notion's pricing page at any tier. The single invoice reference the page does carry points the other way: Workspace admins can access, view, and download your workspace's invoices, which is Notion billing you, not you billing a client. Flowboard generates invoice line items from tracked time grouped by team member or by task, creates and sends the Stripe invoice with the real hosted payment URL stored on the record, and handles the sent-without-Stripe and paid or unpaid transitions for clients who pay another way. Notion publishes Unlimited guests from Plus and 10 on Free, with no per-guest charge on the page, so the cost of client access is not the argument here. Client portal is not named on the page either, and the portal is the part you build: a page tree per client, maintained by you.
