Which document answers which question
The Terms of Service is the contract between your organization and Harbor Software LLC, which operates Flowboard. It incorporates the Acceptable Use Policy, the Data Processing Addendum, the AI Features Addendum, the Data Security Standards and the sub-processor list, so those documents apply without a separate signature. The Privacy Policy is a notice rather than part of the contract.
The Privacy Policy explains the personal data we collect about people who use Flowboard, visit this website or contact us. When you store your clients' and colleagues' information in a workspace, your organization decides how that data is used and we process it for you under the Data Processing Addendum.

For procurement and security reviews
Most vendor reviews ask for the same four things: the Data Processing Addendum, the list of sub-processors, a description of security controls and our position on government requests. All four are published here and can be linked or printed directly. If your review needs a countersigned copy of the Data Processing Addendum, email legal@flowboardhq.com and we will send one.
The Data Security Standards document lists the controls we operate and, just as plainly, the certifications and controls we do not claim. We would rather you know the gaps before you rely on us than discover them later.

How we change these documents
When we make a material change to the Terms of Service, the Privacy Policy or the Data Processing Addendum, we email workspace Owners before it takes effect and update the date at the top of the document. New sub-processors are announced at least 30 days before they process customer personal data.
Superseded versions are kept word for word in the legal archive, so you can always see the exact terms that applied on a given date.
