FREE TOOL / NO SIGNUP

A clear invoice, ready to send yourself.

Your details stay in this tab. This tool does not send invoices, process payments or save data after a reload.

01 / FREE INVOICE TOOL

Prepare the details before you generate

Use the legal or trading name appropriate for the invoice and the billing details supplied by the client. Include a useful contact, the agreed reference and a unique invoice number that fits your existing sequence. An attractive document with the wrong company name or purchase-order reference can still be rejected by accounts payable. Confirm the issue date, due date and currency against the agreement before downloading.

This tool creates a document in the current browser tab. It does not verify the client, register an invoice in your accounting system or reserve a unique number across your business. If you already maintain a billing ledger, assign the number there and use the same reference here. A page reload clears the inputs, so download the result before closing the tab.

Make each line item understandable

Describe the work in terms the buyer can reconcile with the approved scope or milestone. Quantity can represent hours, units or a single fixed-fee deliverable. The rate is the amount for one of those units. For a $2,500 project milestone, quantity 1 and rate 2500 create a $2,500 line. For 12 approved hours at $100, use quantity 12 and rate 100.

Avoid mixing units inside one line or writing a vague description such as services when the contract has a specific milestone name. Use separate lines for materially different work. The generator rounds each line to two decimal places, sums the rounded lines and then calculates the entered tax rate on that subtotal. Review those conventions against the requirements of your billing workflow.

Review the totals and tax treatment

The prefilled example contains one $2,500 delivery line and a zero tax rate. With a 10% rate, the subtotal remains $2,500, tax becomes $250 and the total becomes $2,750. These are arithmetic examples only. The tool does not determine whether a tax applies, whether you must register, what information your jurisdiction requires or whether different items need different treatments.

All line items in this simple generator share one currency and one tax rate. If your invoice requires multiple tax categories, discounts, credits, reverse-charge wording or a special statutory format, prepare it in the appropriate billing system. Do not force a complex invoice into a format that omits a required detail.

Download a format that suits the next step

  1. Preview the document

Complete the required fields and choose Preview invoice. Check the client, dates, item descriptions, currency and total in the embedded preview.

  2. Save a portable copy

Download HTML for a standalone document that can be opened in a browser. Download CSV for a structured record of the details and line amounts.

  3. Print or save a PDF

Choose Print / save PDF and select the destination in your browser print dialog. The tool uses the browser’s print capability; it does not upload the document to a PDF service.

  4. Record and send it yourself

File the invoice in your billing process, then send it through your usual client channel. The generator never sends an email or creates a payment request.

Keep payment instructions specific and verifiable

The notes field can include an agreed payment reference, the purchase-order number, milestone context and instructions you have already confirmed with the client. Review every payment detail before sending. If payment information changes, follow your established verification process rather than relying only on an edited invoice. This generator does not validate bank details or payment destinations.

A due date should reflect the agreement, not merely the default date shown in the form. The tool prevents a due date before the issue date. It does not calculate business-day adjustments, late fees or legal payment terms. Add only wording that belongs to your actual arrangement and retain the approved scope or contract with the invoice record.

Move recurring billing into a connected workflow

A standalone generator is useful for an occasional document or a quick starting point. Repeated project billing benefits from a durable invoice record, a clear relationship to approved work and a review process for status changes. Flowboard’s invoicing feature connects billing activity to the client workspace; review its specific supported behavior before replacing an established accounting workflow.

Keep bookkeeping, tax reporting and reconciliation in the systems that support those requirements. Generating a polished invoice is one step in getting paid. Tracking approval, delivery, payment status and any follow-up remains part of the wider commercial process.

THE PRACTICAL DETAILS

Questions, answered.

Does the tool send the invoice?

No. It generates a document for you to review, download and send through your own channel.

Can I save a PDF?

Yes, through your browser print dialog. Select Save as PDF if your browser or operating system offers it.

Are my client details stored?

No. Inputs remain in this page’s current session. Reloading clears them, and no details are submitted to a server.

Can I add several tax rates?

This version applies one rate to the subtotal. Use a billing system that supports your required tax structure for mixed-rate invoices.

Does this replace accounting software?

No. It does not maintain a ledger, reconcile payments, file tax returns or manage invoice numbering across sessions.
