PUT THE FEATURES TO WORK

Four moments that
make the difference.

See how your team can carry client context through a new request, a revision and the next invoice.

THE HANDOFF

Win the work. Keep the context.

What happens after the client says yes?

IN BASECAMP

Basecamp creates a shared project place. Establish how the accepted agreement and client details arrive there from the sales process.

IN FLOWBOARD

Keep contacts and companies alongside deals, then convert a won deal into a project with its commercial context. Link proposal and invoice records to the engagement. The delivery owner sets the team, dates and responsibilities after the agreement.

Explore the client handoff
A USEFUL SIDE-BY-SIDE CHECK

Start a client engagement and identify the authoritative scope, price and approval record.

THE NUMBERS

See what the work is costing.

Can you explain the margin behind a busy project?

IN BASECAMP

Current qualifying plans include time tracking. Bring the related finance tools when testing how time becomes a project-cost or margin decision.

IN FLOWBOARD

Track the effort against tasks and review its cost alongside the configured project revenue and direct expenses. For fixed-fee and retainer work, the configured budget is the revenue basis. The result is direct margin, not collected cash or company net profit.

See project economics
A USEFUL SIDE-BY-SIDE CHECK

Review one project with extra revisions and reconcile its logged time with the agreed fee.

THE CLIENT EXPERIENCE

Give the client a clear next step.

Where do feedback, files and project context belong?

IN BASECAMP

Client mode lets you decide which project content is visible. Clear discussion and decision history are part of Basecamp’s appeal.

IN FLOWBOARD

Give clients their own access to selected project content, while internal discussions and costs stay with your team. Keep image annotations in the internal proofing workflow and share the updates, files and feedback your client needs.

Explore the client portal
A USEFUL SIDE-BY-SIDE CHECK

Ask a client to find the current decision, then inspect what remains visible only to the team.

DELIVERY TO BILLING

Commit the time. Bill the work.

Does the next deadline fit the team and the agreement?

IN BASECAMP

Basecamp’s work and communication tools may already fit the team. The evaluation should include the capacity and invoice process around them.

IN FLOWBOARD

Plan weekly project allocations, compare capacity with actual time, and generate invoices from finished, unbilled billable entries. Planned hours, worked hours and invoiced amounts remain different measures, so you can inspect the handoffs between them.

Follow time through billing
A USEFUL SIDE-BY-SIDE CHECK

Schedule the next commitment, record the work and follow the billing handoff to completion.

YOUR NEXT PROJECT, IN FLOWBOARD

Bring the work over.
Keep its history close.

Prepare supported records as CSV, and preserve Basecamp conversations, decisions and files in a source archive. Flowboard has no dedicated Basecamp API importer.

Keep your original records, then check the imported owners, dates, statuses and file links before bringing the client into the new workspace.

Bring commercial context into the client conversation

A weekly update should explain what changed, what happens next and whether a new request fits the engagement. When the conversation, budget and delivery hours live separately, the account manager has to assemble that picture each time. That is a concrete reason to move the work into a connected agency system.

Basecamp includes to-dos, message boards, schedules, check-ins, files, Card Tables and client collaboration, with time tracking on qualifying plans. The alternatives below offer different directions from that foundation: connected commercial delivery, broader client administration, more detailed coordination or knowledge-centered work.

CandidateReason to shortlistFirst workflow to test
FlowboardCommercial delivery contextFollow the commitment from proposal to invoice
PlutioBroad client administrationTest acceptance, project start and a later change
AsanaMore structured coordinationTrack dependencies across projects and teams
ClickUpConfigurable work managementCheck whether contributors can navigate a standard setup
NotionKnowledge-linked deliveryDistinguish approved scope from working reference material
Flowboard: connect the client update to delivery and billing

Choose Flowboard when you want client collaboration and the commercial record in the same workflow. CRM, proposals, projects, time tracking, invoicing and portal access connect around the engagement. Project owners can review direct margin and weekly allocations before agreeing to more work, while clients see the project information shared with them.

Try a fixed-fee project with logged labor and a direct expense. Review the cost against the configured fee, then follow eligible billable time into invoice preparation. This is direct project margin; it excludes full business overhead and does not forecast remaining effort. Flowboard has no native mobile app or Gantt view, so include those requirements in your choice.

Plutio: evaluate a broader client-business workspace

Plutio is worth considering when proposals, contracts, invoices, forms and client-facing presentation are central to the change. Its public product offering brings those capabilities together with projects and time tracking. A service business that wants to reduce the number of separate client administration tools should include it in a realistic trial.

Test the particular journey you need: sending a proposal, recording acceptance, beginning delivery and handling a later change. Check current plan details, collaborator access and branding options directly. If margin or resource planning is part of the requirement, check the revenue basis, included costs and weekly allocation workflow with one of your own projects.

Asana: coordinate more complex delivery plans

Asana is a candidate when the team needs more explicit coordination across projects and functions. A campaign can have many participants who are not part of the same daily conversation. Evaluate dependencies, workload and project reporting with those real handoffs, and see whether a shared plan reduces ambiguity.

Its current offerings also include Timesheets and Budgets and Client Management. Include these where cost or client collaboration matters, and verify how they are packaged. Moving from Basecamp should improve the required decision process without making every contributor responsible for maintaining an unnecessarily elaborate project model.

ClickUp: create a configurable operating structure

ClickUp offers a broad environment for teams that want to choose their own task fields, views and work-management conventions. Its documented time tracking and workload features are relevant when an agency needs more than a communication hub. Test a configuration built around your delivery process, not every available option.

Assign an owner for the setup and decide which settings are standard across projects. A flexible system can become difficult to navigate if each account manager invents a separate structure. The pilot should include a new contributor finding an assigned task, understanding the brief and identifying the next decision without a tour from the administrator.

Notion: connect reference knowledge and active work

Notion becomes useful to evaluate when project knowledge is the main source of friction. A team may need to connect research, operating guides, briefs and task records in a way that fits its own method. Notion's current projects offering includes structured tasks, dependencies, forms and views alongside that knowledge environment.

The tradeoff is maintaining the model and the boundaries between reference material and commitments. Test whether an approved scope can be distinguished from a draft idea and whether a project owner can see current responsibilities reliably. If financial control is the requirement, define the revenue, cost and reporting rules the workspace needs to support.

Test the weekly client conversation

Illustrative evaluation: use a campaign with a client sponsor, two internal specialists and an external contributor. Recreate the last weekly update, the next three deliverables and an unresolved approval. Ask each candidate to show what the client sees and what remains internal.

Then introduce a scope change and a delayed contributor. The strongest fit should make the next client conversation easier to prepare: what changed, who acts next and whether the commitment needs revisiting. Observe the effort needed to maintain that view. A sophisticated dashboard is less useful if it depends on updates the team will not consistently make.

Preserve decisions before changing where work happens

Basecamp provides export options, but an export should be treated as a source archive rather than a ready-made reconstruction in another product. Message threads, attached files and the context of a decision may need a different treatment from active tasks. Agree what must remain searchable and who is responsible for checking it.

Flowboard has no dedicated Basecamp importer. Use supported CSV imports where task, project or contact data is suitable, and transfer essential decision context intentionally. Pilot one active project, verify contributor and client access, and identify the authoritative home for new updates. Keep historical reference material available until the team confirms it can find what it needs.

Does Basecamp have time tracking now?

Yes, Basecamp currently advertises time tracking on qualifying plans. Check the current plan and workflow directly. Include those time records in a trial alongside client access, project communication and any separate billing process.

Which alternative is closest to Basecamp's simplicity?

Simplicity depends on the process and the configuration. Test the smallest useful setup in each candidate. Plutio or Flowboard may consolidate client administration, while Asana or ClickUp may add delivery structure. None should be judged only by the number of features shown on a marketing page.

Should we move all historical messages?

Not necessarily. Preserve the original record, then identify decisions that active work depends on. A concise approved-scope record can be more useful in the new project than an unstructured message dump. Retention requirements and client obligations should inform what remains accessible and for how long.

Can we keep Basecamp for client communication?

That can work if responsibilities are clear. Decide where approvals, commitments and status updates become authoritative, and account for any manual copying. Using two products adds a handoff to maintain. Test how a new approval or status change reaches the other system before adopting the split workflow.

What should we measure in a trial?

Measure how reliably people can find the brief, identify the next action, understand client visibility and prepare a project update. Include the commercial question if that prompted the search. Track administration effort alongside the new capability so the team can judge whether the added structure is worthwhile.
