CONSIDERING A CLICKUP ALTERNATIVE?

Bring project work, delivery costs and billing together.

When your team updates ClickUp but someone still has to reconcile hours, client commitments and invoices elsewhere, another task view will not close the gap. Flowboard connects that agency workflow: move a won deal into a project, track delivery time, review direct margin and prepare the invoice. This guide compares it with Asana, monday work management, Productive and Basecamp so you can choose around the work your current setup leaves disconnected.

14-day trial. Every feature included. Card required.

WHY MAKE THE MOVE

Your project is more than its task status.

BRING YOUR AGENCY WORK INTO FLOWBOARD

One project record.
The work and the business together.

Bring the client, scope, delivery hours and invoice into the same workspace. Flowboard gives your agency a defined project model, so the team can update the work while the owner follows its direct margin.

  • Connect client records and a won deal to the delivery project.
  • See logged labor and direct expenses against the agreed project value.
  • Generate invoices from finished billable time instead of rebuilding the work in a billing tool.
Start your 14-day trial Every feature included. Card required.

Before you move

  1. Bring the agreed fee, labor rates and expenses into the project.
  2. Choose the updates and files your client will see.

PUT THE FEATURES TO WORK

Four moments that
make the difference.

See how your team can carry client context through a new request, a revision and the next invoice.

THE HANDOFF

Win the work. Keep the context.

What happens after the client says yes?

IN CLICKUP

ClickUp gives you the structure to model a sales-to-delivery handoff. Decide which list owns the client, how deals become projects and which fields must carry across.

IN FLOWBOARD

Keep contacts and companies alongside deals, then convert a won deal into a project with its commercial context. Link proposal and invoice records to the engagement. The delivery owner sets the team, dates and responsibilities after the agreement.

Explore the client handoff
A USEFUL SIDE-BY-SIDE CHECK

Win one sample deal. Track where scope, client identity and commercial value are reused or re-entered.

THE NUMBERS

See what the work is costing.

Can you explain the margin behind a busy project?

IN CLICKUP

Native time capture is already available. The financial question is how your chosen setup combines those entries with revenue, labor rates and direct expenses.

IN FLOWBOARD

Track the effort against tasks and review its cost alongside the configured project revenue and direct expenses. For fixed-fee and retainer work, the configured budget is the revenue basis. The result is direct margin, not collected cash or company net profit.

See project economics
A USEFUL SIDE-BY-SIDE CHECK

Add an extra revision to a fixed-fee project and reconcile the resulting financial view.

THE CLIENT EXPERIENCE

Give the client a clear next step.

Where do feedback, files and project context belong?

IN CLICKUP

ClickUp uses guest access and permissions to share work. Set up the lists, documents and files the client needs, then check their view from a guest account.

IN FLOWBOARD

Give clients their own access to selected project content, while internal discussions and costs stay with your team. Keep image annotations in the internal proofing workflow and share the updates, files and feedback your client needs.

Explore the client portal
A USEFUL SIDE-BY-SIDE CHECK

Ask a test client to locate the approved file and next action without exposing an internal cost discussion.

DELIVERY TO BILLING

Commit the time. Bill the work.

Does the next deadline fit the team and the agreement?

IN CLICKUP

Workload and time tracking can support delivery planning. Include your billing system in the evaluation so the process continues beyond the workload chart.

IN FLOWBOARD

Plan weekly project allocations, compare capacity with actual time, and generate invoices from finished, unbilled billable entries. Planned hours, worked hours and invoiced amounts remain different measures, so you can inspect the handoffs between them.

Follow time through billing
A USEFUL SIDE-BY-SIDE CHECK

Move a deadline, revise an allocation and send the resulting billable entries through your billing process.

YOUR NEXT PROJECT, IN FLOWBOARD

Bring the work over.
Keep its history close.

Start with a small ClickUp API import. Comments, historical time and custom fields are outside the supported task-structure import; preserve them separately.

Keep your original records, then check the imported owners, dates, statuses and file links before bringing the client into the new workspace.

Close the gap between a task update and a business decision

A completed task tells you the work moved. It does not tell the owner how much delivery cost, whether an extra request fits the fee or which hours are ready to bill. If answering those questions means gathering information from several places, make that the focus of your switch.

ClickUp already offers time tracking, custom fields and workload planning. The reason to choose Flowboard is the agency workflow around those records: the client, commercial commitment, project, direct costs and invoice belong in the same operating routine. Compare the alternatives below against the handoff that consumes the most effort today.

CandidateReason to shortlistFirst workflow to test
FlowboardConnect the commercial commitment to daily deliveryTrace a scope change into recorded cost and billing
AsanaCoordinate across teams and portfoliosTest the required client and budget products
monday work managementOwn a configurable operating modelChange one process and inspect the maintenance burden
ProductivePlan services, resources and financesReconcile a mixed-service budget and future booking
BasecampMake project communication easier to followFind a client decision without another meeting
Flowboard: turn recorded work into a commercial decision

Choose Flowboard when project updates need to explain the business as well as the task. Client-linked projects bring time entries, configured revenue and recorded direct costs into a direct-margin view. Finished, unbilled billable entries can become an invoice, so the work behind the charge stays traceable. Weekly capacity allocations help the team plan the next commitment.

Run a fixed-fee engagement through one revision and invoice preparation. The owner should be able to review delivery cost while contributors keep working in the project. Direct margin measures configured revenue less recorded direct costs; full bookkeeping and forecasts of remaining effort stay outside that figure. Flowboard also has no native Gantt view or native mobile app.

Asana: evaluate organizational coordination

Asana belongs on the shortlist when the challenge extends across teams and a common project or portfolio structure matters. Its Client Management and Timesheets and Budgets offerings add client-facing and financial workflows to that shortlist.

Ask which Asana products and plans your proposed configuration requires. Then test an account project that depends on another team's work. Check whether managers can follow ownership and financial context without duplicate updates. If your agency already collaborates inside a wider Asana organization, preserving that shared context can outweigh the benefit of a completely separate operating platform.

monday work management: evaluate deliberate customization

monday is a candidate when the agency wants configurable boards to support several distinct operating processes. Its work-management model and Workload capability provide building blocks, but the final workflow depends on the design you choose.

Bring a configuration change to the evaluation: add a new intake requirement, revise an approval stage and update the leadership report. Ask who maintains the result and how existing items behave. Include the ongoing work of maintaining templates, permissions and shared reports in the decision. Include any other monday products or apps actually needed for CRM and commercial handoffs.

Productive: evaluate agency financial depth

Productive is a serious option when service budgets, resource bookings and financial forecasting are central to the decision. Its agency model connects budgets, service records and future bookings for financial planning.

Use a mixed-service engagement to test it: one fixed component, variable delivery work and a future booking. Ask finance to explain the revenue and cost treatment. Productive's depth can be valuable, but it should match a real reporting requirement. Choose the level of detail that the financial owner can maintain and use in regular decisions.

Basecamp: evaluate a clearer project conversation

Basecamp merits a place when communication is the recurring failure. Its project spaces bring conversations and work together, with client controls and Card Tables. Current plans also include time tracking on qualifying tiers, so include the qualifying edition in your trial and cost comparison.

Test whether a client and a newly assigned colleague can find the latest decision without a meeting. Then check how your existing finance process remains connected. Basecamp can be a sensible foundation when communication is the job and financial systems elsewhere are dependable. It is a different purchase rationale from seeking a complete service-budget forecasting platform.

Put the shortlist through one real week

Illustrative pilot: choose a website project with an approved fee, current tasks, one revision request and an upcoming invoice milestone. Give each candidate the same inputs. Ask a contributor to update work, a manager to resolve the revision and an owner to review the commercial effect.

Keep a short decision record: information re-entered, unresolved permission questions, manual reconciliations and missing required behavior. At the end of the week, compare the steps completed and the handoffs still requiring another tool. Choose the workflow that gives contributors, managers and owners the information they need with the fewest repeated updates.

Move data and behavior as separate workstreams

Export source records before changing a client routine. ClickUp documents task exports, but exporting data does not recreate automations, dashboards or integrations elsewhere. List the behavior you need alongside the entities you want to move.

For Flowboard specifically, the ClickUp API importer maps selected work structures; comments, historic time and custom fields do not import. Other destinations have their own rules. Verify the proposed migration with a sample, preserve the archive and reconcile ownership, status and financial opening assumptions before expanding. Retire the old process only when its replacement has a named owner.

Which alternative is closest to an agency financial platform?

Choose Flowboard for connected delivery with direct margin based on configured revenue and recorded costs. Include Productive when service budgets and forecasts from future resource bookings are central. Use a fixed-fee or retainer engagement to check which financial model supports your decisions.

Which option should a communication-focused team examine?

Basecamp is a useful candidate when project discussions and client decision trails are the main issue. Test whether your finance workflow can remain dependable alongside it. Communication clarity and full financial consolidation are different buying goals.

Is Asana still just an internal work tool?

No. Its current Client Management product targets agencies, and Timesheets and Budgets adds financial context. Evaluate the correct offering and terms. Include client access, time and cost inputs in the proposed configuration.

Should all tools receive the same feature score?

Not necessarily. Weight criteria around the problem you need solved. A required approval workflow or forecast matters more than several unused modules. Use pass conditions and a representative project instead of an arbitrary total that hides critical gaps.

How do we avoid migrating the same confusion?

Define ownership, status meanings, cost assumptions and the authoritative client record first. Test the new routine with real users. Check that contributors know where to record time, project owners know how costs are calculated and clients see the right information.
