CONSIDERING A MONDAY.COM ALTERNATIVE?

Run client work without rebuilding its commercial context.

If keeping boards, rates, client records and billing aligned has become a job of its own, move to a workflow built around the agency engagement. Flowboard connects CRM, projects, time, direct margin and invoicing so project owners can follow the work and its commercial context together. This guide compares it with Asana, ClickUp, Trello and Productive by the process each would own.

WHY MAKE THE MOVE

Stop rebuilding the agency workflow one board at a time.

BRING YOUR AGENCY WORK INTO FLOWBOARD

One project record.
The work and the business together.

Start with the records an agency already needs: clients, deals, projects, time and invoices. Flowboard connects them around delivery, with direct margin and a separate client view built into the workflow.

  • Turn a won deal into a client-linked project with a clear delivery owner.
  • Plan weekly allocations and track the hours that delivery actually uses.
  • Keep client updates and commercial records close to the work, with internal costs private.

PUT THE FEATURES TO WORK

Four moments that
make the difference.

See how your team can carry client context through a new request, a revision and the next invoice.

THE HANDOFF

Win the work. Keep the context.

What happens after the client says yes?

IN MONDAY.COM

monday offers separate CRM and work-management products. Your chosen boards and connections determine how the client and agreed scope reach the delivery team.

IN FLOWBOARD

Keep contacts and companies alongside deals, then convert a won deal into a project with its commercial context. Link proposal and invoice records to the engagement. The delivery owner sets the team, dates and responsibilities after the agreement.

Explore the client handoff
A USEFUL SIDE-BY-SIDE CHECK

Change a client contact after a deal is won and verify every delivery record that needs the new detail.

THE NUMBERS

See what the work is costing.

Can you explain the margin behind a busy project?

IN MONDAY.COM

Your financial dashboard is only as useful as the board model underneath it. Open the actual source items and reconcile costs and revenue definitions.

IN FLOWBOARD

Track the effort against tasks and review its cost alongside the configured project revenue and direct expenses. For fixed-fee and retainer work, the configured budget is the revenue basis. The result is direct margin, not collected cash or company net profit.

See project economics
A USEFUL SIDE-BY-SIDE CHECK

Review a retainer renewal using the agreed value, logged effort and unplanned revisions.

THE CLIENT EXPERIENCE

Give the client a clear next step.

Where do feedback, files and project context belong?

IN MONDAY.COM

Client experiences vary by monday product and configuration. Test the exact account and permissions your agency intends to offer.

IN FLOWBOARD

Give clients their own access to selected project content, while internal discussions and costs stay with your team. Keep image annotations in the internal proofing workflow and share the updates, files and feedback your client needs.

Explore the client portal
A USEFUL SIDE-BY-SIDE CHECK

Sign in as the client and find a project update, shared file and pending response.

DELIVERY TO BILLING

Commit the time. Bill the work.

Does the next deadline fit the team and the agreement?

IN MONDAY.COM

The Workload widget supports capacity planning. Check realistic effort estimates, time off and the billing handoff in the same selected configuration.

IN FLOWBOARD

Plan weekly project allocations, compare capacity with actual time, and generate invoices from finished, unbilled billable entries. Planned hours, worked hours and invoiced amounts remain different measures, so you can inspect the handoffs between them.

Follow time through billing
A USEFUL SIDE-BY-SIDE CHECK

Use a part-time teammate with time off, then inspect the effect of an additional project.

YOUR NEXT PROJECT, IN FLOWBOARD

Bring the work over.
Keep its history close.

There is no dedicated monday API importer in Flowboard. Keep the source export and prepare supported records as CSV. Board formulas, apps and automations need their own plan.

Keep your original records, then check the imported owners, dates, statuses and file links before bringing the client into the new workspace.

Spend less effort reconciling the operating model

A monday workspace can represent clients, projects, deliverables and internal processes through similar-looking rows. When those boards depend on different conventions, a project owner has to reconcile what the data means before making a decision. Identify where that upkeep interrupts client work: the handoff, resource plan, margin review or invoice.

Flowboard starts with clients, projects, time and commercial records as parts of an agency workflow. Other candidates offer different structures, from a lighter production queue to service-based financial planning. Compare them against the recurring work your current configuration leaves with the team.

CandidateReason to shortlistFirst workflow to test
FlowboardConnected agency operationsTrace project delivery alongside direct margin
AsanaCoordinated cross-team deliveryTest required project, client and financial products
ClickUpConfigurable work managementRecreate a real process with minimal exceptions
TrelloA narrower and simpler delivery queueRun a real project and identify what still belongs elsewhere
ProductiveService budgets and resource planningReconcile a budget with future bookings
Flowboard: put the agency engagement at the center

Choose Flowboard when clients, projects, time and billing are the records you want connected. A won deal can become a project; logged labor and direct expenses feed the direct-margin view; eligible completed billable entries support invoice preparation. Weekly capacity allocations keep planned people and projects visible to the team accepting new work.

Run an engagement with an extra revision through that chain. Look at the recorded delivery cost, the commercial decision and the evidence behind the bill. Flowboard supplies a defined agency model, with direct margin rather than full bookkeeping or a forecast of remaining effort. Native Gantt and native mobile apps are not currently available.

Asana: coordination across a broader organization

Asana deserves consideration when a client project depends on work across several departments. Its portfolio and planning approach may suit organizations that need shared accountability across those boundaries. Current agency-specific offerings also make it relevant to client-facing work.

Specify the Asana configuration you would purchase, including Client Management or financial extensions where relevant. Ask managers to follow a dependency and its effect on client commitments. Follow that dependency through one change in scope or timing and check who needs to update the client.

ClickUp: flexibility with a different hierarchy

ClickUp is a candidate when the agency still wants a configurable platform but prefers its work hierarchy and operating conventions. It documents time tracking, custom fields and Workload, so the comparison should include the complete configuration you would use.

Moving from one flexible product to another does not remove the need for governance. Name the owner of templates, status definitions and permissions. Ask that person to change a recurring workflow and inspect its downstream effects. The pilot should demonstrate a better fit for the team, not just relocate the same inconsistent process under different terminology.

Trello: a lighter choice for a narrower job

Trello can suit a team whose actual requirement is a clear visual production queue. Its board model, automation and integrations support more than manual card movement, but it need not become the home of every business record.

Use it when finance and client agreements already have dependable owners elsewhere. Test whether contributors and clients understand the board without extensive setup. If the agency needs service-level profitability and detailed resource forecasts, evaluate a financial platform instead of trying to make the lightest option cover every requirement. Simplicity is valuable when it matches the scope of the job.

Productive: financial planning as a primary requirement

Productive should be considered when the agency's main problem is connecting service budgets, people and financial outcomes. Its documented services and resource bookings provide a more specific agency model than an unspecified collection of boards.

Test a mixed engagement with planned work, actual time and expenses. Ask the financial owner to reconcile a forecast and explain its revenue treatment. Choose it when that depth supports required decisions. If the agency only needs a content queue and occasional project totals, determine whether the additional structure is justified before committing to the change.

A campaign intake exercise reveals the difference

Illustrative evaluation: three client requests arrive during a busy production week. One is included in a retainer, one needs a new estimate and one depends on a specialist who is unavailable. A useful system must distinguish commercial authorization, delivery priority and staffing availability.

Give each shortlisted product the same requests. Observe how they become records, who makes the decisions and what appears in the weekly review. Keep scope approval with a named owner, even when request routing is automated. The exercise should expose the process you would actually maintain, including any separate tool or manual approval it still needs.

Migrate the model, not just the spreadsheet

monday's board export can provide an Excel record, but exported rows do not reproduce all views, connected behavior or automation. Preserve the original exports, then map the intended destination entities and statuses. Document the existing logic separately so nothing important disappears silently.

For Flowboard, prepare supported data for generic CSV import; there is no dedicated monday API import path currently. Verify a sample and keep comments, historic time and attachments separately. Every alternative needs its own migration check. Have the workflow owner review the new structure before replacing a board used by active clients.

How much configuration does each alternative need?

That depends on how closely the product's default model matches your process. A defined agency model may reduce some design decisions, while a narrow board may be enough for a small team. Try one standard engagement and one scope change to see how much setup each requires.

Is another configurable tool a poor choice?

No. Flexibility can be valuable when work genuinely varies. The issue is whether your organization owns its configuration and keeps it consistent. Compare maintenance routines and data definitions, not just the number of available columns or views.

Should monday CRM be included in the evaluation?

Yes, if it is part of your current or proposed stack. Distinguish it from work management and include the required commercial handoffs. Price the complete setup, including the people and products needed for those handoffs.

Can a board export recreate automations elsewhere?

A board export contains data; its automation rules need to be documented and rebuilt separately. Preserve the data and document its behavior as separate migration assets. Rebuild only the logic the destination process still needs and test it with existing and new records.

How can we keep the shortlist manageable?

Choose one candidate for each plausible operating model, then eliminate options that fail a non-negotiable requirement. Run the campaign-intake exercise on the remaining two. Include improving the current monday setup as a baseline.
