CONSIDERING A NOTION ALTERNATIVE?

Run client work without maintaining a custom agency database.

When someone has to maintain the links between client pages, project databases, hours and budgets, the operating system becomes another piece of work. Flowboard gives agency delivery a defined structure: CRM, proposals, projects, time, direct margin and invoicing around the engagement. Compare it with ClickUp, Asana, Trello and Basecamp to choose a working model your team can use every day.

PUT THE FEATURES TO WORK

Four moments that
make the difference.

See how your team can carry client context through a new request, a revision and the next invoice.

THE HANDOFF

Win the work. Keep the context.

What happens after the client says yes?

IN NOTION

Notion lets you shape the client-to-project model. Relational databases can connect the records, but the schema and its upkeep remain a deliberate part of your process.

IN FLOWBOARD

Keep contacts and companies alongside deals, then convert a won deal into a project with its commercial context. Link proposal and invoice records to the engagement. The delivery owner sets the team, dates and responsibilities after the agreement.

Explore the client handoff
A USEFUL SIDE-BY-SIDE CHECK

Change a client detail and inspect every linked deal, project and finance view.

THE NUMBERS

See what the work is costing.

Can you explain the margin behind a busy project?

IN NOTION

A rollup can summarize related data. Verify the rates, costs, billing basis and relation rules beneath the total, especially after duplicating a project template.

IN FLOWBOARD

Track the effort against tasks and review its cost alongside the configured project revenue and direct expenses. For fixed-fee and retainer work, the configured budget is the revenue basis. The result is direct margin, not collected cash or company net profit.

See project economics
A USEFUL SIDE-BY-SIDE CHECK

Create a fixed-fee project, log extra effort and check that the correct financial records change.

THE CLIENT EXPERIENCE

Give the client a clear next step.

Where do feedback, files and project context belong?

IN NOTION

Shared pages can be a useful client surface. Test how access rules and page structure behave with two clients and internal information in the same workspace.

IN FLOWBOARD

Give clients their own access to selected project content, while internal discussions and costs stay with your team. Keep image annotations in the internal proofing workflow and share the updates, files and feedback your client needs.

Explore the client portal
A USEFUL SIDE-BY-SIDE CHECK

Use a client account to find the latest approved brief and confirm the intended visibility boundaries.

DELIVERY TO BILLING

Commit the time. Bill the work.

Does the next deadline fit the team and the agreement?

IN NOTION

You can design planning and reporting views around your databases. Include the actual time capture and invoice tools in the evaluation.

IN FLOWBOARD

Plan weekly project allocations, compare capacity with actual time, and generate invoices from finished, unbilled billable entries. Planned hours, worked hours and invoiced amounts remain different measures, so you can inspect the handoffs between them.

Follow time through billing
A USEFUL SIDE-BY-SIDE CHECK

Update capacity, record billable work and reconcile the invoice without relying on a manually typed summary.

YOUR NEXT PROJECT, IN FLOWBOARD

Bring the work over.
Keep its history close.

Export a source archive and prepare supported records as CSV. Relation URLs, formulas and rollups need a reconstruction plan; importing rows does not migrate workspace behavior.

Keep your original records, then check the imported owners, dates, statuses and file links before bringing the client into the new workspace.

Every option in depth, and how to test them. Open what you need.

Make the commercial record easier to maintain

A completed project page can still leave the budget out of date or the invoice waiting for someone to gather time records. If your Notion workspace depends on one person to maintain those connections, the maintenance burden is part of the cost of running work there.

Notion Projects offers structured tasks, subtasks, dependencies, forms and several views. Flowboard is the choice to consider when the next step is connecting those operational records to the client commitment and billing. Use the shortlist below to decide whether you need defined agency operations, configurable work management or a simpler communication routine.

CandidateReason to shortlistFirst workflow to test
FlowboardDefined agency operationsConnect approved scope, delivery and billing
ClickUpConfigurable work managementMap a project into a repeatable shared hierarchy
AsanaReliable cross-project responsibilityFollow ownership through a dependent launch plan
TrelloA simpler delivery queueRun a complete publishing cycle with fewer fields
BasecampProject-centered conversationSeparate the decision record from the assigned action
Flowboard: connect delivery and billing without designing the relationships

Choose Flowboard when your Notion workspace has become a custom agency operating system. CRM, proposals, projects, time tracking, direct margin, invoicing and portal access follow a defined client workflow. Your team can review recorded delivery costs and prepare billing from eligible completed time entries without first building the relationships between those records.

For the margin review, hourly projects use billable time and rates; fixed-fee and retainer projects use configured revenue, less logged labor costs and applicable direct expenses. The result is direct project margin, not full business profit or a forecast of remaining effort. Reference playbooks can remain in a knowledge base with a clear link from the active project.

ClickUp: configure a broader work-management environment

ClickUp is a candidate when the team wants substantial control over task fields, statuses and views while moving toward an explicit work-management hierarchy. It documents time tracking, custom fields and workload management, so include those capabilities in the setup you trial.

The question is how much configuration you want to retain. Map one Notion client database and one project database into the intended ClickUp structure. Check whether a new employee understands where to create work and how to distinguish an internal note from a committed deliverable. Flexibility helps only when the shared conventions are understandable.

Asana: standardize responsibility across projects

Asana is worth considering when reliable ownership and coordination are more important than creating bespoke databases. Evaluate a project with dependencies, several contributors and a shared deadline. Ask how leadership sees cross-project risk without every team inventing a different reporting page.

Its current offering also includes Timesheets and Budgets and a separate Client Management product. Include those when financial tracking or a client-facing workflow is part of the brief. Compare the setup you would actually purchase and operate. A narrow task-only trial cannot answer whether the broader Asana environment fits your agency.

Trello: simplify a process that became too elaborate

Trello can be the right direction when the problem is too much structure. A small content team might need a clear queue, ownership and an approval stage more than interconnected dashboards. Its board and card model, automation and planning features make it useful to test a deliberately smaller operational surface.

Choose this route consciously. Removing database complexity may also remove relationships and reporting that were useful. Run the next real publishing cycle and identify which questions still need a spreadsheet or document. Simplicity is a benefit when the missing detail is unnecessary, not when it hides an important commercial commitment.

Basecamp: organize conversation around the project

Basecamp is relevant when the Notion workspace contains many meeting pages but decisions still happen across email and chat. Its message boards, check-ins, files, to-dos and client collaboration are designed to keep project communication in a shared context. Current plans also include time tracking options.

Try using a project message as the authoritative decision record and a task as the authoritative action. If the team can follow that distinction, the move may resolve more friction than another database. If deeply interconnected knowledge is the core need, assess whether a separate knowledge base should remain alongside Basecamp.

Evaluate one repeatable engagement from brief to handoff

Illustrative evaluation: choose a monthly content engagement currently managed through linked Notion databases. Recreate the client brief, four deliverables, two review rounds and a handoff checklist. Give each candidate the same relationships to represent, but do not force it to copy the old database design.

Test three moments: creating the next month, replacing a team member and approving an additional deliverable. Record where information is entered twice and whether a project owner can explain the current commitment without consulting the original workspace builder. The strongest candidate makes your operating rules easier to follow, not merely your pages easier to decorate.

Migrate documents and database meaning separately

Notion supports content exports, but an export is not a working clone of the workspace. Its documentation explains that relational database properties export as text URLs and cannot simply be reimported to reconstruct those relationships. Preserve a source archive and inventory the links that carry real operational meaning.

Flowboard does not have a dedicated Notion importer. Use supported CSV imports for suitable tasks, contacts or projects, and recreate the necessary relationships intentionally. Leave reference knowledge accessible until the team has checked it. Avoid an all-at-once cutover that confuses a successfully imported task list with a successfully migrated operating model.

Is Notion unsuitable for agency project management?

No. Notion has a current projects product and can support sophisticated workflows. The decision depends on whether the flexibility is valuable or whether maintaining the model has become an operational burden. Use a representative project to compare the upkeep of the database model with the day-to-day workflow in a more defined agency platform.

Can we keep Notion and move only delivery work?

Yes, provided the division is explicit. For example, Notion can retain playbooks while another system owns active tasks, time or invoices. Define where project decisions and status updates belong. Plan for a clear handoff between systems and test any connection before relying on it for project updates.

What is the main migration risk?

Losing the meaning of database relationships is often more serious than losing page formatting. A task without its correct client, project or approval context can still import successfully. Check representative relationships, permissions and archived reference links before treating the move as complete.

Which alternative offers the most flexibility?

That depends on what you want to configure. ClickUp offers extensive work-management configuration, while Notion itself remains strong for custom knowledge structures. Flowboard provides a more defined agency workflow. Test the specific fields, access rules and reporting logic you need rather than ranking flexibility in the abstract.

Should we rebuild every existing Notion database?

Usually only the ones needed for the chosen operational scope. Identify obsolete experiments, duplicated properties and historical material before moving. Rebuild essential relationships deliberately and retain a source archive. Migrating unused complexity can reproduce the original problem in a different interface.
